FEBS Advanced Lecture Course - Retina in a dish: Methods & Applications in life sciences

The total number of course attendees is limited to 100 (plus 20 invited speakers) to facilitate interactions.
The target audience is PhD students and postdoctoral fellows, but senior scientists are also welcome.

Before registering, please review the tentative course program to ensure that the topics match your educational and professional interests.

Selection and Travel Grants

Selection for Youth Travel Fund (YTF travel grants) grants will be based primarily on submitted CVs and abstracts. However, we will also consider topic representation, career stage, geographical diversity, and gender balance to promote inclusivity.

How to Apply / Register

  1. Complete the registration form
    Choose your participant category:
  • Academic – Trainee (e.g. undergraduate, PhD student, postdoc)
  • Academic – Non-trainee (e.g. senior scientist, PI)
  • Non-Academic (e.g. industry)

Note: Payment of the course fee is required at the time of registration (Academic - trainee 200 €; Academic - Non-trainee 300 €; Non-academic 500 €).

Please note, accommodation is NOT included in the registration. However, we do recommend participants book accommodation in the reserved conference hotel detailed below. This will maximize interaction between the participants during the week!

  1. Proof of trainee status (for PhD students and postdocs)
    Upload a document confirming your trainee status (e.g. study right certificate, HR letter confirming postdoc status).

  2. Additional documents for travel grant applicants
    (Deadline: February 28, 2026)

Applicants for FEBS Youth Travel Fund (YTF) must upload:
a. A concise CV (maximum 2 pages)
b. Proof of FEBS Constituent Society membership, proof of age (≤35 years), ID, and proof of trainee status
c. An abstract (maximum 2500 characters including spaces; structure: background/introduction, methods, results, conclusions)

  1. Abstract submission (optional but encouraged)
    Abstract submission is optional for regular participants but mandatory for travel grant applicants.
    You may also indicate if you wish to be considered for a 3-minute flash talk.

  1. After registration
    You will receive an email titled “Registration for FEBS Retina-in-a-dish received.”
    Your registration will be reviewed within 14 days, and we will contact you if any information (e.g. proof of trainee status) is missing.
  2. Accommodation
    We have placed a preliminary reservation to host participants and speakers in the Scandic Hotel Kuopio, June 7-12, 2026 (Stay at Scandic Kuopio - Hotel in Kuopio). The hotel is by the main lake (Lake Kallavesi) and ~3 km away from the auditorium and easily accessible by buses every 30 minutes. At Scandic Kuopio, the experiential nature and hospitality of the region combine with great charm. The hotel is located less than 1 km away from the main city square.

University of Eastern Finland data protection policy


Application and payment data controller is the University of Eastern (UEF). More detailed processing of personal data and contact details of the data protection officer can be found at https://www.uef.fi/en/data-protection. You can also find information about your data protection rights on that page. The people having access to data will be the conference organizers and the service providers used in the arrangements. Personal data will be stored 6 months after the course/conference ends. 


 


Registration cancellation & refund policy


All registration cancellation requests should be sent to info@retinaexvivo2026.febsevents.org in writing. For cancellation requests received on or before 14.5.2026, the full payment, less bank charges, will be refunded; for cancellation requests received on and after 15.5.2026, the full amount will be charged and no refunds will be made. No cash refunds will be made for credit card payments in the case of cancellation.


Modification and cancellation of the event


The Course Organizers are intending to run the event as a physical meeting, but if they decide at any time that it is not possible to continue with a physical event due to pandemic or other such restrictions, the event may be postponed. The Course Organizers will give you as much advance notice as possible if such changes are necessary. The Course organizers reserve the right to modify the Course programme, whether physical or online, which is published as an indication only.


If postponement is not possible, and the event is cancelled, the Course Organizers will endeavour to reimburse as much of the registration fee as possible. Such reimbursements will depend on the timing of such a cancellation/modification and organizational costs. Organizers may cancel the event as a result of circumstances outside of their reasonable control, including (but not limited to) pandemic, natural disaster, adverse weather conditions, fire or closure of airports. Where possible, they will endeavour to provide reasonable advance notice of any such cancellation.



Neither FEBS, UEF, nor the Course Organizers shall be held liable for any other costs or losses incurred.


 


Disclaimer


The Course organizers take all reasonable care in making arrangements, and shall in no event be liable for acts or omissions in the event of injury, damage, loss, accident, delay or irregularity of any kind whatsoever during arrangements organized through contractors. Hotel and transportation services are subject to the terms and conditions under which they are offered to the general public.


 


In the absence of any negligence or other breach of duty by the Course Organizers, UEF, or FEBS, these parties shall not be responsible for any bodily injury, illness, death or property damages (including theft) sustained by participants during the event.


 


In any event, neither the Course Organizers, UEF, nor FEBS accept liability for damages or costs in the event of bodily injury, death, property damage, illness, disruption to travel plans and costs incurred as a result of events outside of their reasonable control, including (but not limited to) pandemic, natural disaster, adverse weather conditions, fire or closure of airports.


Travel insurance


You should seek and follow the advice of your government before booking travel to the event and before travelling to the event. You are solely responsible for making your own appropriate travel and other insurance arrangements before booking travel. The Course Organizers, UEF, and FEBS shall not be liable to you for any losses incurred.


Governing law


Any dispute resulting from the above terms and conditions will be subject to Finnish law, and by accepting these terms you are submitting yourself to the exclusive jurisdiction of the courts of Finland.

If you are engaged as a speaker for an event, we will separately request your consent to reproduce, distribute and otherwise use such films or recordings.

  • We also have access to information about you which you upload as part of the application/registration process for the event. We process this information in accordance with this Privacy Policy and for the purposes described herein. 3. PURPOSES FOR COLLECTING & PROCESSING YOUR PERSONAL INFORMATION

We use the information that you have given us in order to:



  • provide you with information and support about the Advanced Course you have applied to attend

  • assess your application to attend an Advanced Course

  • administer your participation in the Advanced Course, including processing your registration fee, handling submitted materials such as abstracts, and managing dietary requests

  • comply with applicable laws and regulations

  • if you are photographed as part of any onsite or virtual events, your image or likeness may be used in promotional material

  • if you are filmed or recorded as part of any onsite or virtual events, your image or likeness may be used when we display the recorded content on the website, or use the recorded content, or part of it, in promotional material


We may share this information with:



  •  The Federation of European Biochemical Societies (FEBS) as part of our reporting and funding obligations or for use by FEBS in reporting or promotion of its Advanced Courses program;


Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:



  • Your consent. You are able to remove your consent at any time. You can do this by contacting us at the details provided above.

  • We have a contractual obligation.

  • We have a legal obligation.

  • We have a legitimate interest or where a third party has legitimate interests.


Where we use your information for our legitimate interests, or the legitimate interests of a third party, we make sure that we take into account any potential impact that such use may have on you and will not rely on this lawful basis where it is not proportionate to do so. 4. HOW WE STORE YOUR PERSONAL INFORMATION


We are established in public Universities (University Eastern Finland, University of Helsinki, University of Tübingen) within the European Union. The information provided to use is stored on safe University servers only.


We take steps to ensure that the personal information that you provide is retained for only as long as it is necessary for the purpose for which it was collected. After this period it will be deleted or in some cases anonymised. Personal details will deleted 6 months after the event.

5. YOUR DATA PROTECTION RIGHTS


Under data protection law, you have rights including:



  • Your right of access - You have the right to ask us for copies of your personal information.

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.


You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
